Customize Order, Payment, and Subscription Email Alerts

Edit the six automatic email notifications GrowCRM sends to clients and your team after orders, payments, and subscription failures.

The Products & Services module automatically sends email notifications when key events occur — a new order is placed, a payment is received, or a subscription payment fails. The Email Templates section, found under Settings → Products & Services → Email Templates, lets you customise the subject line and body of each of these emails so they match your brand’s voice and include the information most relevant to your customers and team.

Available Templates

There are six templates in total: three sent to the client and three sent to your team (admins). Each template fires independently, so you can craft different messaging for your customers versus your internal notifications.

Payment Received	Client	When any payment is received, including a subscription renewal.
Subscription Payment Failed	Client	When a recurring subscription payment fails to process.

Payment Received	Team (admins)	When any payment is received.
Subscription Payment Failed	Team (admins)	When a recurring subscription payment fails to process.

Merge Variables

Merge variables are placeholders you insert into a template’s subject or body. When the email is sent, GrowCRM replaces each placeholder with the actual value for that transaction. This lets you write a single template that produces personalised emails for every recipient without manual effort.

Common merge variables include:

Variable	Replaced With
{client_name}	The full name of the client who placed the order.
{service_name}	The name of the service or product purchased.
{amount}	The payment amount for the order or renewal.
{order_url}	A direct link to the order record in the CRM.

The complete list of available merge variables is displayed inside the template editor itself. Open any template to see the full set of variables you can use — different templates may expose different variables depending on the event they cover.

Editing a Template

1. Open Email Templates

   Go to Settings → Products & Services → Email Templates.

2. Select a template

   Click the template you want to edit from the list. The editor opens with the current subject and body.

3. Customise the subject and body

   Update the subject line and body text. Use any of the merge variables shown in the editor sidebar to insert dynamic values. Format the body using the rich-text toolbar.

4. Save your changes

   Click Save to apply the updated template. Your changes take effect immediately for all subsequent emails triggered by that event.

Keep client-facing templates concise and action-oriented. Include {order_url} in the New Order and Payment Received client templates so customers can access their order details with one click.
